Penn State College of Medicine is shifting its holiday policy to align with Penn State policy HR34, Employment Conditions for Staff Employees. This change will apply to all full-time staff employees located within the College of Medicine.
As a reminder, the College of Medicine has historically not followed this policy and employees accrued service hours instead. This change means full-time staff employees will no longer accrue service days in accordance with policy HR34 (which officially started April 1, 2022). Instead, this winter, the College of Medicine will close for winter break on December 25, 2022, through Jan. 1, 2023 (a total of four and a half days). Further details surrounding winter break will be announced at a later date. Full-time employees have already earned 12 hours of service days for this year. Eight of those hours are attributed to your Personal Holiday and the extra four hours will be deducted from the first day of the winter break. College of Medicine and University offices and operations — except for essential services and operations — will be closed during this time.
Whom this applies to: This applies to full-time staff employees.
Whom this does not apply to: Employees who are covered by a collective bargaining agreement will continue to receive service days in accordance with the terms of their contract. Technical Service employees will remain essential personnel and will be needed to work over the winter break.
What happens to accrued service days: Service time accrued through March 30, 2022, can be used through Dec. 31, 2023. The service time caps remain in place for year-to-year carryover.
For those who must work during winter break: See policy HR34 for details on time off and pay for non-exempt and exempt employees required to work a regularly scheduled work day on an official University holiday.
How do staff employees code time in Workday: University instruction will be communicated at a later date.
Where to go with questions: View policy HR34 for additional information. Employees who have questions about how the shift to a winter break closure will impact their individual schedules or the schedules of staff members they manage should contact the College of Medicine Human Resources team at AskCOMHR@pennstatehealth.psu.edu.
